Position Description:

  • The Central Sample Administration (CSA) department is responsible for the administration of all RSSL samples coming into the Reading Science Centre (RSC).This includes responsibility for the receipt of samples, creating projects in the LIMS system, allocating projects to the correct departments, ensuring there are no discrepancies between submitted client paperwork, sample pot labelling and quotations, sub-sampling of supplied samples (if required), subcontracting analytical work and inputing of these results, returning samples to clients, electronic and physical disposal of samples (as required), maintaining chain of custody for controlled samples, liaising with internal and external customers and supporting the company Health Check process.

  • The role of Scientific Administrator is to ensure the day to day efficient administration of samples received into the CSA department at the RSC building. 

  • The role holder will be required to maintain a flexible approach to working practices to ensure the smooth running of the CSA department.

  • They will also be expected to work in an organized manner within tight deadlines, to ensure that the project throughput is delivered within 24 hours and to a high quality standard.

  • The position will be primarily based at the Reading location although may require attendance of any of the other reading sites.

Knowledge: including education, qualifications and training

  • Educated to A-level / HNC level (or equivalent) and / or have appropriate industry experience to be able to fulfil role requirements.

  • Accountable, honest, hardworking and able to work efficiently in a team

  • Flexible and adaptable to meet customer/business requirements. Well organised and capable of working on multiple activities concurrently. Meticulous attention to detail

  • Excellent inter-personal skills, with the ability to interact effectively by with customers and colleagues by telephone, written communication and face-to-face

  • Self motivated, enthusiastic and quick to learn.

  • Able to organise own work to maximise output

  • Computer literate in standard MS office applications

  • Administrative working experience

  • Experience of working in a regulated environment.

Technical and Operational

  • Ensure samples are logged into the Laboratory Information Management System (LIMS) in an accurate and timely manner.

  • Ensure the efficient throughput of samples in CSA from receipt to laboratory.

  • Sub-sample multi-lab project samples, strictly adhering to all requirements of QSOP-149.

  • Liaise with customers to ensure correct information is available.  Ensure customer satisfaction by acting as an interface with customers and deliver excellent customer service

  • Ensure consistency, technical precision and compliance with methods of work and look to identify improvements.

  • Develop good working relationships with RSSL colleagues particularly in the laboratories and customer services.

  • Work as part of the CSA team to high standards of safety and quality.

  • Collaborate with RSSL’s Operational Teams to ensure customer requirements are met in a timely manner.

  • Able to work under pressure and adapt to meet an ever changing customer environment.

Communication & Influence

  • Work as part of an efficient team

  • Liase with clients, commercial, site administration teams and line management to ensure effective communication.

  • Liaise with both internal and external customers where necessary to ensure that the information on LIMS is accurate and ensure customer satisfaction by representing RSSL in a professional manner at all times.

  • Work to the highest standards of safety and quality by ensuring that appropriate COSHHs, risk assessments and SOPs are understood and followed.

  • Complete assigned quality actions on a timely manner

  • Maintain a clean, tidy and safe working environment.
