What to expect

An opportunity has arisen for a Personal Assistant to join our team, supporting the company Senior Director for Global Procurement. The role is critical to the smooth running of the procurement function and requires a great level of flexibility and comes with a high level of responsibility.


What You’ll need

As the Personal Assistant you’ll have sole responsibility of the Procurement Director’s time, prioritising key business activity, liaising with their leadership team, management of objectives, management and preparation of paperwork and follow up of actions, delivery on time and on quality of all tasks assigned to the Director and their function.

 

WHAT YOU’LL BE RESPONSIBLE FOR

  • Provide administrative support to the Procurement Director, document approvals, meeting organisation, travel & expense organisation.

  • Diary co-ordination and management.

  • Booking meeting rooms, venues, catering and general events logistics (as applicable).

  • Provide administrative support on the maintenance of documentation to enable effective delivery of team objectives, including forward reviews and briefing documents.

  • Ordering and maintaining stationery and equipment supplies.

  • Acting as a point of contact for the team and wider business on general departmental queries.

  • Liaising with colleagues and external contacts to book travel and accommodation.

  • Organising and storing paperwork, documents and computer-based information.

  • Attending meetings, taking minutes and circulating notes where required.

  • Maintain the gifts and entertainment register on behalf of the team.

  • Maintain holiday trackers for effective team management.

  • Undertake any other work as directed by their line manager in connection with their job as may be requested.

 

WHAT YOU’LL NEED
Essential:

  • Previous experience working in an administration role.

  • Proficient analytical and problem-solving skills.

  • Proven ability to work in a fast-paced, changing organisation.

  • Detail orientated with good organisational and time management skills.

  • Above average written and verbal communication skills.

  • Excellent IT skills – particularly with Microsoft Office packages.

  • Existing knowledge of working with finance processes, venue booking and system usage.

  • Confidentiality when dealing with sensitive information.

Desirable:

  • Proven track record of demonstrating logic and analytical thinking.

  • Comfortable with data management/data manipulations.

  • Experience and skills in the preparation of presentation materials
